This policy explains how cancellations, non-attendance, deposits and booking changes are handled.

1. Overview
This Cancellation Policy applies to bookings made with Perfect Features Aesthetics & Training Academy, including training courses, treatment appointments and bookings made through our website, booking system or client portal.
By placing a booking, you agree to this Cancellation Policy and our Terms & Conditions.
2. Booking deposits and upfront payments
Some treatments or training courses may require a deposit, upfront payment or full payment to secure your place. Your booking is not confirmed until the required payment has been received.
Training course deposits and upfront payments are non-refundable once course theory, online learning, digital materials, pre-course information, student access or home study materials have been sent or made available to you.
This is because the upfront payment covers administration, reserved course availability, student support and access to course theory or digital learning materials.
3. Training course cancellations
If you need to cancel a training course, please contact us as soon as possible by email or through your client portal where available.
If course theory, online learning, digital materials, pre-course information or student access has already been sent or made available, the upfront payment or deposit will not be refundable.
Any remaining balance already paid may be reviewed depending on the circumstances, notice given and whether the course place can reasonably be reallocated.
4. Changing your course date
If you need to change your course date, you must contact us at least 14 days before your scheduled course date.
Course date change requests made with less than 14 days’ notice may result in the loss of your upfront payment or deposit. A further payment may be required to book a new course date.
Course date changes are subject to availability and are not guaranteed.
5. Non-attendance and late arrival
If you do not attend your training course or treatment appointment without giving notice, payments already made may not be refundable.
If you arrive late, we may be unable to proceed with your course or treatment. In this case, your booking may be treated as a non-attendance and payments already made may not be refundable.
6. Treatment cancellations
If you need to cancel or rearrange a treatment appointment, please give as much notice as possible so the appointment can be offered to another client.
Treatment deposits may be non-refundable where short notice is given, where you do not attend, or where the appointment cannot reasonably be reallocated.
7. Finance, Klarna, Clearpay and pay later payments
Where available, flexible payment options may be offered through third-party payment providers such as Klarna, Clearpay or similar providers.
If you choose to pay using finance, instalments or a pay later option, your payment agreement is with the third-party finance provider. Perfect Features Aesthetics & Training Academy does not provide credit directly and does not make finance approval decisions.
Cancelling or changing your booking with us does not automatically cancel any third-party finance agreement unless confirmed by the finance provider. You should check the provider’s own terms for repayment, missed payment, cancellation and refund rules.
8. Refunds
Refund eligibility depends on the booking type, notice given, payment status, whether course materials have been issued and whether the booking can reasonably be reallocated.
Approved refunds will normally be returned to the original payment method where possible. Refund times may vary depending on your bank or payment provider.
9. Cancellations by us
In rare cases, we may need to cancel or rearrange a course or treatment due to illness, staff availability, safety concerns, low course numbers or circumstances outside our control.
If this happens, we will contact you as soon as possible and offer a suitable alternative where available.
10. Suitability and safety
Treatment appointments may be subject to consultation and suitability checks. We reserve the right to refuse, rearrange or postpone treatment where it is not safe or suitable to proceed.
